01Which repetitive tasks can you automate
The best candidates are tasks you always handle the same way: reminders for overdue invoices, reminders before an appointment, the end-of-day sales summary, contracts and documents filled in with the client's data, an alert when a product is running low.
Review requests after a service, a welcome email sequence for a new client and scheduling social posts also work well. If every week you spend a few hours copying data from one place to another, there is almost certainly something to automate.
02We connect the tools you already use
You do not have to change everything. We start from your email, WhatsApp, calendar, Excel sheets or the management software you have, and make them talk to each other: when something happens in one, the other reacts without you having to step in.
A real example is Federica Prestige Stay, the holiday homes website we built: the booking calendar is synced with Airbnb and Booking.com. When a date is booked on one channel, it shows as taken on the others too, so there are no double bookings.
03How a business process automation project starts
First we map the process with you, step by step: who does what, with which tools, where time is lost and where errors happen. This phase alone often reveals steps that can be simplified.
Then we build a single automation, the one that frees up the most time, and test it with real data before switching it on. Only when it works well do we extend it to other processes, one step at a time.
04What is not worth automating
Not everything should be automated. Decisions that need judgement, delicate negotiations and replies to an unhappy client stay with you: automation can prepare the information, but the answer is better given in person.
The same goes for processes that change every time or that you do only a few times a year: the time to build and maintain the automation would exceed the time saved. We tell you clearly during the first consultation.
05Privacy and consent: the basics
An automatic message is still a message sent by your business, so GDPR rules apply. For reminders linked to a service the client already requested, the existing relationship is usually enough; promotional messages require explicit consent.
In the automations we build we handle only the data needed, store it on reliable services and always provide a simple way to stop receiving messages.
06What you get at the end
An automation that runs on its own, documented simply: what it does, when it starts, who receives what. We show you how to pause it or change a text without calling anyone.
Access to the connected services stays in your name. After activation we stay available for fixes, new rules and to extend the automation as your business grows.
