01Subscription or custom management software: how to choose
We offer both, so we have no reason to push you towards one or the other. Subscription software is ready to go: we configure it for your business and you use it straight away, with updates and support included. A custom management system is built on your processes and becomes yours.
To decide we look at three things: how similar your way of working is to other businesses in your sector, how many people will use the system and with what permissions, and which tools it has to connect to. If none of our subscription solutions fits, we point you to the best one on the market, even if it is not ours.
02When subscription management software is enough
If your need is shared by many businesses, ready-made software is often the most sensible choice: bookings and calendar, patient management for a nutritionist, client records and deadlines. You get started quickly, pay a monthly fee and don't have to think about servers and updates.
The limit is that the program is the same for everyone: you can configure it, but not rewrite it. If you notice you are adapting your work to the software rather than the other way round, it is a sign that another option is worth considering.
03When a custom management system pays off
A custom management system pays off when your work has steps that standard programs don't cover: a particular way of calculating quotes, an internal approval flow, documents in a precise format. Or when, with subscriptions, you would end up paying for three different programs and copying data from one to another.
To avoid a leap in the dark we start from an MVP, a first version with only the essential features. You use it for real at work, tell us what is missing and what is not needed, and only then do we add the rest: that way you invest in what you use, not in what you imagined you would use.
04From Excel to a management system: how the switch works
Many businesses start from Excel sheets that over time have become hard to keep in order: several versions of the same file, formulas that break, no record of who changed what. A management system keeps data in a single archive, up to date for everyone at the same time.
You don't have to start from scratch. We analyse your sheets, remove duplicates and import clients, items and history into the new system; if someone on the team is used to working in Excel, we can include data export in that format.
05Integrations, users and permissions
Useful management software does not work in isolation. We connect it to the tools you already use, such as Google Calendar, your invoicing program, online payments, email or WhatsApp, so information entered once reaches wherever it is needed.
Each person has their own login and sees only what concerns them: the owner has the full view, the front desk handles calendar and records, an external collaborator sees only their own files. When someone stops working with you, you just deactivate their user.
06Your data stays yours and support continues
With a custom management system both the code and the data are yours, and you don't depend on us to keep using it. With subscription software we explain from the start how to export your data, so you know you can change course whenever you want.
In both cases we train you, leave you a manual and stay available for questions and fixes. With a subscription, updates are included; with custom software we agree on maintenance and new features as your business grows.
