01Employee records in a single archive
Every employee has their own record: personal details, role, department, contract type, uploaded documents and deadlines. You no longer have to hunt for the latest version of a file across shared folders and attachments, because the record is always the up-to-date one.
Important deadlines, such as the end of a fixed-term contract or a document to renew, are highlighted and you get a reminder in good time. We decide together which fields you really need, so the records stay complete without turning into an endless form.
02Online leave and time-off requests, with HR notifications
The employee opens the portal, picks the dates and sends the request. The manager gets an email notification and approves or declines with one click; the employee is told the outcome straight away, without having to ask in person where the request stands.
Everyone sees the history of their own requests and how many days of leave they have left, while you get a clear view of who is away and when. Notifications can be extended to other events, such as a document about to expire or a new announcement to read.
03Employee portal: payslips, documents and announcements
The office uploads payslips as PDFs and each employee downloads only their own, after logging in. The same goes for contracts, certificates and other personal documents, which no longer travel as email attachments.
The portal also holds a board for company announcements, such as closing times, new procedures or notices for everyone, and a team directory with roles and contacts. New hires have a single point of reference from day one.
04Roles, permissions and employee data privacy
Everyone logs in with their own credentials and sees only their own data. Managers see their team's requests, while the office has access to the full records: we define the access levels with you, based on how your company is organised.
Employee data is personal data, so it makes sense to collect only what you need, set clear rules on who can see it and keep regular backups. The software helps you put those rules into practice, but your company's privacy obligations should be checked with your privacy consultant.
05Custom or subscription HR software, and integrations
If you only need standard features, a subscription HR tool may be enough, and if a suitable one exists we will tell you. When your rules on shifts, departments or approvals do not fit a ready-made scheme, a custom portal saves you from bending the company to the software: we go into this in more depth on our management software page.
There is also a third way: Staff+, our staff records program with a one-off licence. It installs on the office computer, works without internet and the data stays in the company: employee records, leave and time off with approval, deadlines and a monthly payroll summary. You can try it in the demo below.
The portal can work with the tools you already use: an export of the data your payroll consultant needs, approved absences on the shared calendar, notifications in your company mailbox. That way the new system fits into the way you work instead of adding an extra step.
06How we build your HR portal
We start by analysing how you manage your staff today, then show you a clickable prototype before writing any code, so you can see screens and flows and correct them early. Development goes in phases: usually records and leave first, then documents and announcements.
Before release we test everything with real users, then train the office and managers and hand over a user manual. Afterwards we stay available for maintenance and new features; the code and the data are yours.
