Integration

A connection between two or more software tools that lets them exchange data automatically, so you never have to retype the same information by hand.

Integration in practice

An integration is a link between different programs that lets them talk to each other. Your website, management software, calendar and email stop being separate islands: when a piece of data changes in one, the others receive it without you lifting a finger. Technically it almost always goes through an API, the access point a piece of software offers to others.

For a business it means having a single version of your data. If a client updates their address in one place and the old one stays somewhere else, sooner or later you send a parcel or an invoice to the wrong address. With an integration you enter the information only once.

A concrete example: an order comes in from your online shop and the integration passes it to the management software, which lowers the stock level and prepares the data for the invoice. The same principle enables calendar sync between your booking site and outside platforms. Integrations are at the heart of the automations we build.

Before you choose a subscription software, check whether it offers a documented API or at least a data export: without one, connecting it will be hard or impossible. Keep in mind that an integration needs maintenance too: when either program changes, the link has to be checked. That's why it pays to set up a check that alerts you if something stops working.
