Automatic payment reminders in practice
Automatic payment reminders are payment notices that go out on their own when an invoice falls due without being paid. The system checks due dates, knows who has already paid and writes only to those who are late, using messages prepared in advance.
For many businesses chasing payments is an awkward job that often gets put off: it takes time and feels uncomfortable. Automating it means every client is reminded consistently and always in a professional tone, while you step in personally only for the truly difficult cases.
One example is the invoice reminder system we built as a sample project: it sends a reminder at 7, 14 and 30 days, by email and WhatsApp, in a slightly firmer tone each time, and logs the payments received. It works like automatic reminders for appointments, but applied to getting paid.
The critical point is that payments are recorded promptly: chasing a client who has already paid is the quickest way to annoy them. That's why it's worth linking the system to your management software through an integration. Keep the messages polite, with the amount, invoice number and payment details, and always leave it to a person to decide whether to take more formal steps.
